AI Governance for Growing Businesses: A Practical Policy and Review Checklist

AI governance gives a growing business a practical way to know where AI is being used, who owns each decision, what information is involved, and when a use should be approved, changed, or stopped.

When AI use spreads faster than accountability

One person is summarising meetings with an AI assistant. Another is drafting customer emails. Marketing is testing a content tool, and an enquiry workflow is moving information between a form and the CRM. Each use may look harmless on its own. Together, they create a business system nobody has fully mapped.

That is where informal judgement stops scaling. A useful AI policy gives people a way to register a use, identify its owner, set data boundaries, choose the required review, and revisit the decision when the tool or workflow changes.

Australia's Guidance for AI Adoption sets out six essential practices covering accountability, impacts, risk management, transparency, fairness, and protection of AI systems. The guidance is voluntary and does not itself create a new legal obligation. It is still a useful baseline for consistent decisions before AI reaches more customers or data.

The OAIC guidance on commercially available AI products adds product due diligence, human oversight, privacy by design, transparency, and review across the lifecycle. Privacy Act obligations depend on whether the organisation and handling activity are covered. What practical AI governance needs to achieve

Governance means the business can answer six questions. Where is AI used? Who owns the outcome? What information does it touch? Who could be affected? What must a person check? When will approval be reviewed?

The process can stay proportionate. An internal tool that tidies non-sensitive notes does not need the controls required for a system that drafts customer advice or handles personal information. It still needs an owner and a boundary.

The NIST Generative AI Profile applies Govern, Map, Measure, and Manage functions to generative AI risks. The public summary of ISO/IEC 42001 describes an AI management system that is established, implemented, maintained, and continually improved. They support a connected loop of ownership, context, evidence, action, and review.

Start with an AI use register

The first artefact is a live inventory. It makes vendor terms, data paths, limitations, and changes visible. Teams still choosing opportunities can start with how to decide what to automate first.

Record these minimum fields:

  • use case and business purpose
  • operational owner, reviewer, and approver
  • tool, model, integrations, and output destination
  • data used, including personal or sensitive information
  • people affected and the consequence of an error
  • risk tier, required human decision, and approval status
  • limitations, test evidence, fallback, and incident contact
  • last change and next review date

Use fictional examples in training. Store client or personal information in the register only when suitable storage and access controls are in place. The combined AI use register and acceptable-use policy starter provides a copyable structure.

Assign one owner and one human decision point

The operational owner keeps the use accurate and working. The reviewer checks defined outputs. The approver accepts the remaining risk and can pause the use. One person may hold multiple roles in a small team, but the responsibilities still need names.

Every use case should name the decision AI cannot make alone. A meeting-summary tool may require the attendee to approve actions before they enter the project system. Public content needs an expert to approve claims and sources. An enquiry assistant needs a person to approve unusual, sensitive, or commercially binding responses.

The OAIC asks organisations adopting commercial AI products to consider suitability, testing, oversight, privacy and security risk, and access to personal information. For controlled public facts, ownership also affects how AI systems understand your business.

HR, credit, health, and legal decisions sit outside this starter model. They can affect rights, safety, access, or significant interests and need specialist legal, privacy, security, and domain review before use.

Use four risk tiers to set proportionate controls

The Off Piste model considers consequence, data sensitivity, customer exposure, reversibility, and scale. It is a management aid informed by the cited sources, not an official Australian classification or compliance determination.

Write rules people can use during real work

An acceptable-use policy becomes useful when each sentence creates an observable control. “Protect data” is vague. “Use approved tools and keep personal or sensitive information out of public AI tools” can be checked.

The OAIC recommends as best practice that organisations do not enter personal information, especially sensitive information, into publicly available generative AI tools. It also calls for transparent identification of public-facing AI tools and regular lifecycle review. The ACSC secure AI development guidelines support secure-by-design practice and documented limitations. Because that guidance is provider-oriented, adopters should use it as context and separately assess vendor, access, configuration, and deployment risks.

Approve a use case before it reaches customers or scales

The approver should verify the decision record rather than rely on a polished demo.

  • Confirm the purpose, owner, affected people, and success measure.
  • Complete vendor, access, privacy, and security due diligence.
  • Record allowed data, prohibited data, storage, and destinations.
  • Assign the risk tier and any specialist review.
  • Test normal cases, edge cases, known failures, and fallback.
  • Specify the human decision, review coverage, and disclosure.
  • Set monitoring thresholds, incident route, pause authority, and review date.

Approval covers a specific configuration and context. After launch, measure AI workflow ROI and reliability with verified outcomes, exception logs, review effort, and scale, fix, or stop criteria.

Operate governance as a review loop

Review the inventory regularly and immediately after a serious incident or material change. A new model, vendor term, integration, prompt, knowledge source, data category, audience, or customer complaint can change the risk. Previous approval does not silently extend to a different system.

This is where ISO's continual-improvement principle and NIST's Manage function become practical. Record the change, reassess, rerun relevant tests, update limitations, and decide whether to approve, pause, redesign, or retire. The OAIC also warns against a set-and-forget approach to products involving personal information.

Customer-facing uses need working fallbacks. Forms, consent language, enquiry routes, and staff handoffs should work when AI is uncertain or unavailable. The website redesign checklist connects those controls to the wider customer journey.

A 30-day starter plan

  1. Week one: inventory current uses, including informal experiments, vendors, data, destinations, and affected people.
  2. Week two: name owners and human decision points, assign risk tiers, and pause excluded uses.
  3. Week three: adopt the starter policy, turn rules into workflow controls, and test normal cases, edge cases, and fallbacks.
  4. Week four: approve, pause, redesign, or retire each use, then set measures, incident contacts, and review dates.

At the end of the month, the register should reveal the next operational decision. A sound low-risk use may enter measured operation. A valuable but poorly bounded use may need workflow design. Customer-facing gaps may point to website and journey work. A scattered opportunity list may justify an AI opportunity workshop. High-consequence uses should wait for specialist review.

After 30 days, the business should be able to explain what its AI does, who is responsible, what evidence supports each decision, and what will make the team change or stop it.
